Sport & Games Transport Solutions

The challenge

The NBA and the NFL have previously hosted games in the UK, but in the summer of 2019, the London Stadium in the Queen Elizabeth II Olympic Park pitched up to be the first venue in Europe to stage Major League Baseball (MLB).

First Travel Solutions were contracted to provide team, VIP and spectator transport for the London Series.&nbsp;

This was more than just providing coaches and park and ride solutions and involved the procurement and management of all sorts of vehicles from minibuses, to MPVs to executive cars. The operation was not just for event days but encompassed the proceeding build and after event takedown periods.

The games (June 29 and 30th) themselves were extremely high profile as it was between two of the biggest rivals in American baseball and two of the most iconic teams in world sport in the Boston Red Sox and New York Yankees.

The eyes of the world were on London and the UK to see if it could successfully host such a famous American sporting tradition.

The organisers had very specific and high-end vehicle specifications and FTS had to fulfil these requirements in the peak holiday season in the UK.

The solution

Recognising the high-profile nature of the operation and the worldwide eyes on the event, and indeed the organisers want to prove the viability of future MLB matches, FTS deployed senior management teams who worked intensely with the client for months in advance of the games and throughout the series.

Over the 8 days of event operation, FTS successfully delivered nearly 400 different ‘transport’ journeys. This involved procuring and managing 87 different vehicles from team coaches, to MPVs to executive coaches and saloon cars.

FTS onsite control team monitored and tracked every vehicle, trained 22 drivers and staff to the highest standard, deployed co-ordinators at the main venue and auxiliary locations and adapted the operation in terms of time management as one of the games turned out to be the second longest in MLB history.

The result

FTS smashed the baseball contract out of the park. Every specified journey requirement was met with 100% of journeys being completed to programme. There was not a single late journey and organisers reported their satisfaction both with the service provisions and the standard of vehicles procured.

A second London Series will take place in 2020.

Festival & Event Transport Solutions

Love Supreme is one of the premier jazz music festivals in Europe and every year it attracts 40,000 concert goers to the three-day event at Glynde Place near Brighton.

The challenge

First Travel Solutions (FTS) have previously supported concert organisers with an ingress / egress shuttle service between Brighton city centre and the festival site, and due to previous successful operations, FTS were again approached to act as the main transport partner.

As in 2018, the festival site is fairly remote, and parking is very limited and to avoid local congestion on smaller B roads, the council only grant permission for the festival if event organisers can demonstrate a sophisticated and managed transport plan.

The solution

As with previous year’s festivals FTS, planned routes, procured vehicles, set up city centre locations to support those arriving into Brighton by rail, co-ordinated queuing and boarding, provided pop up sales points and managed the onsite temporary bus station.

Customers were able to book onto time specific shuttles from Brighton rail station to the site, which helped manage crowds but FTS employed sufficient flexibility in the operation to account for late arrivals and peak time surges.

On the ground staff were deployed to manage operations both at the rail station and at the festival site, where there was a requirement to clear the venue of bus passengers no later than 2 hours after the main stage closed down.

At both the rail station and the festival site FTS were able to manage un-booked walk up sales and transport all customers to where they wanted to be.

As an enhancement from previous years the organisers also contracted FTS to provide shuttle services from both Lewes and Glynde stations, providing more public transport solutions and further reducing private vehicle traffic to and from the site. FTS co-ordinators were onsite at all locations.

The result

Another successful FTS operation carried thousands of festival goers, their equipment and supplies and a fair few saxophones and guitars.

The main shuttle service is well known and extremely well used with Love Supreme’ers and its popularity is supporting organisers to demonstrate to local authorities their commitment to staging a transport considered event.

The additional shuttles from Lewes and Glynde were also popular and well received.

All buses provided were fully accessible and tracked by FTS in Event Control.

The challenge

Massive Attack, one of Bristol’s most famed bands, played two huge homecoming gigs at the purpose-built Steel Yard at Filton Airfield in early spring 2019.

Each concert attracted an audience of 14,000 fans and working in partnership with the Big Green Coach Company (BGC), First Travel Solutions (FTS) were appointed by TravelWest to support the local transport provision between Bristol city centre and the venue.

Bristol City Council were keen to test the feasibility of the airfield as a venue and one of the main considerations was how transport could be delivered for thousands of attendees in a quick and efficient manner and in a way that didn’t cause significant local disruption.

The solution

FTS worked with BCG, the council and the concert organisers to develop a park and ride solution to connect the venue and concert attendees to the city centre.

FTS operated 70 plus buses, provided by colleagues from First West of England, a mobile ticket shop, in the form of a bus and on the ground co-ordinators.

Queuing systems were set up in the Broad Quay area of the city and buses called in as needed to avoid&nbsp; &nbsp; city centre congestion.

FTS also provided pre event consultancy and demand management assessment and were able to deploy their expertise in traffic management along the 6.5 mile route.

The result

The park ride operation was a massive success transporting thousands of concert goers to and from the venue and reducing the congestion impact on the local road network.

The feedback after the event provided enough evidence to prove that concerts could successfully be held there with specific praise given to the transport arrangements that were in place.&nbsp;

The main driver of public opinion as to the success of any outdoor event is the speed at which venues are safely cleared and FTS were able to meet and exceed council on such.

Local media also praised the efficiency of the bus operation.

Massive Attack

The challenge

In the summer of 2018, Glasgow proudly hosted the inaugural European Championships, bringing together over 4,500 athletes competing in 12 sports from swimming through to golf and fantastic BMX racing.

First Travel Solutions (FTS) were appointed as the official transport partner by the organising committee to provide seamless and effective journeys for all athletes, officials, media and VIPs.

Venues were dispersed throughout the city, into the wider Glasgow city region and further afield to Gleneagles for the Golf and Edinburgh for the diving competition.

Given that the contract included travel provision for athletes and officials it was imperative that transport between training bases, accommodation and venues was timely, stress free and well communicated.

The solution

FTS deployed their experienced major event transport managers five months in advance of the opening ceremony and the team set about working with organisers, venues and the local authorities to understand all the various requirements of the 85 different ‘games’ routes.

Working with First Bus in Glasgow, drivers and vehicles were identified and an intensive route learning programme was initiated so that when the games went live the transport operation was well rehearsed and perfectly timed.

Additionally, a 24/7 Control Room was established and VIP chauffeur provision was set up for officials and games guests from around the world.

The result

This was a huge operation and one that was extremely high profile and extensive and expert planning was the key to a gold standard transport performance.

Between 25th July and 12th August, FTS operated more than 70 services a day, carrying close to 10,000 athletes, championship officials and journalists.

The daily bus operation was supported by an additional 60 co-ordinators and supervisors who ensured that everyone got to their starting blocks on time.

The team were also able to provide staff and event stewards in support of the cycling road races.

The European Championship organising committee were delighted with the service provided by FTS and commented on the efficiency of the plan and its delivery against a number of challenging parameters.

Glasgow 2018

The challenge

The Slam Dunk North Festival is a one-day music event featuring some of the biggest names in modern Pop-punk, metal and alternative sound.

The annual event takes place in May and is hosted at the magnificent Temple Newsam Park in Leeds.

First Travel Solutions (FTS) were appointed in 2019 to provide shuttle bus services between the city centre and the countryside venue. An all-day operation with enough capacity to transport thousands of punkers and rockers was requested by the event organisers.

The solution

Temple Newsam is around half an hour from Leeds Railway station and FTS planned the operation of hundreds of bus journeys to and from the venue.

Shuttle services ran from 0830 in the morning to 1500 in the early afternoon. Due to the nature of a one-day event, increased capacity was needed at key points in the day when crowd numbers were expected to peak in line with the most popular bands taking to the various stages. 

This meant working extremely closely with event organisers to understand how many thousands of fans were expected on site at various points after the first bands started performing at 1130. 

Return shuttles began operating at 2030. 

The bus operation was supported by FTS’s parent company First Group, who provided over 40 double decker buses and drivers from their West and South Yorkshire depots. FTS contracted additional buses from 3rd parties and installed and managed a pop-up ticket buying facility in the city centre and at site.

A video detailing where and how to board the bus shuttles was also produced and hosted on the festival website providing step by step guidance for attendees.

Ground support staff were also deployed to help manage queuing and sell tickets for travel.

The result

Throughout the day FTS provided transport for 12,000 spectators providing nearly 150 bus journeys between the venue and the city centre.

Exceeding client expectations the festival site was fully cleared by 2330, only an hour and half after headliners All Time Low, NOFX and Bullet for My Valentine had completed their sets.

Slam Dunk Festival North 2019

The challenge

Following on from previous successful contracts, the organisers of the Stafford Ironman 2019 once again approached First Travel Solutions (FTS) for transport and logistical expertise and operations.

FTS were asked to provide transport over the weekend of the 8th and 9th June, providing buses to carry spectators, athletes and race equipment including top of the range racing bikes.

The Stafford Ironman is the first race of the UK Ironman season and consists of swimming, cycling and running over a course of 70.3 km. It attracts more than 2,500 competitors and thousands of spectators and fans.

The course starts with the swimming leg at Chasewater Lake, before competitors cycle to Stafford where they finish off an adrenaline packed day with a half marathon around the town centre.

The solution

The Saturday operation was mainly concerned with assisting athletes with their preparation for the next day’s big race.

A nine-hour shuttle service was implemented with the assistance of First Midlands (Potteries) who provided single decker buses to transport competitors and their bikes from Holland Park to Chasewater Lake, a journey of around 20 miles.

Significant planning always goes into these pre-race shuttles to ensure that routes are as quick and accessible as possible so as to avoid any un-necessary added tension and worry for the athletes.

Sunday 9th June was a much more complex operation with the Saturday shuttle being repeated to get all the ironmen and women to the starting point on time and the implementation of two park and ride offerings between Doxey Road, the Stafford Showground and the town centre. 
 
The athlete shuttles were obviously time critical and again significant pre-planning was undertaken by FTS to understand issues such as road closures and route alternations.

FTS sourced well over 20 double decker buses, managed co-ordination and boarding and were present in event control to ensure the best transport solution was provided.

The result

The operation was a tremendous success and all athletes got to the start line on time. 
 
Spectator shuttle buses worked to perfection allowing fans to witness the superhuman efforts at various points on the course, whilst the impact of the event on background users and residents was reduced as traffic and parking was kept away from the main routes.

The Saturday shuttle service ran from early in the morning to 17:15 to allow athletes as much choice as possible and nearly 600 competitors and their bikes opted for the service. This was completed in 45 trips.

On Sunday, FTS successfully transported 1500 athletes and nearly 1000 spectators via 70 bus trips.

The service on both days went without any issues and the organisers stressed how efficient and effective the service was and have already confirmed FTS as the transport provider for the 2020 race.

The challenge

A British prince was marrying an American tv star and the royal town of Windsor was set to be overcome with tens of thousands of enthusiastic and well-wishing fans and celebrity spotters.

Expectations were high and the demand on public transport to get to and from Windsor was predicted to be huge.

First Travel Solutions (FTS) are experts in bespoke transport operations for large scale events and were commissioned by the Royal Borough of Windsor and Maidenhead to provide bus shuttle to connect flag wavers with rail services in and out of Slough.

The biggest challenges the team faced were around planning for unknown numbers and the impact of road closures on bus timings.

The solution

This project was all about multi agency co-ordination and FTS’ ability to plan and deliver a crowd busting operation in conjunction with local councils, Great Western Railway (GWR) and police and security services.

The shuttle service ran between 0630 and 1900 and utilised a dozen or so double decker vehicles from First Group’s depots at Slough and Reading.

Staff were deployed at Slough rail, bus stations and at the drop off point in the centre of Windsor to manage queuing and bus loading.

Big screens were installed at the rail and bus stations so those waiting for buses could keep up to date and involved in the celebrations before their journey.

The result

Everyone got to the wedding on time! Our 20 strong team moved over six thousand spectators on nearly 100 bus journeys. We also provided multiple buses to get event staff to and from Windsor Castle.&nbsp;

Due to the close-knit working of the multi-agency transport group we knew the challenges and prepared resilient and robust plans and timetables. All the buses ran to time and connected spectators with train services either into or out of Slough. Queuing time was very minimal at each location and the day went without a hitch.

FTS were praised for their efforts by Slough Council, the Royal Borough and GWR.

It’s the biggest wedding we have ever provided transport for.

A Royal Affair

<h1 style="margin: 0cm 0cm 8pt;">The challenge</h1>

London 2012 was at the time, the biggest Olympic and Paralympic games ever staged attracting more than 15,000 athletes from 205 countries. Over 10 million fans attended events across London and the UK from the end of July to the middle of September 2012.

It was the biggest multi-sport event the UK has ever hosted, and First Travel Solutions (FTS) were awarded the contract by the Olympic Delivery Authority (ODA) to design, plan and operate the whole spectator bus and coach network.

This involved providing a total of 26 bespoke park and ride operations to the Olympic Park and numerous other venues across the capital and the country.

Ultimately it meant providing specialist transport for close to 1.5 million event attendees and making sure that their experience was pleasurable, stress-free, seamless, safe and world class.

FTS recognised that this was much more than just a mega-scale bus operation but was a critical element of a successful ‘games’ delivery and a key component of building and enhancing the UK’s reputation as a world class event ready destination.

FTS appointed a specific project lead and management team and employed a team of 2,500 customer focused front-line colleagues, including 600 specially trained drivers and 500 operational and co-ordination staff.

More than just operating a fleet of 1000 buses the team were selected and trained to represent the Olympic movement and acted as ‘games makers’ for guests and attendees.

They were briefed in detail on safety and security, customer service and international relations and delivered pop up bus stations, park ride sites and specific traffic management operations.

A dedicated and specialist bus control centre was set up and operated by FTS in Barking, ensuring there was real time information and expertise on hand throughout the events to make sure spectators got where they needed to be when they needed to be there.

FTS successfully contributed to the organisers ambition for 100% of spectators to use public transport for the final legs of their journeys to all venues and events. The ‘Games’ were hailed a public transport success.

Unprecedented demand for park and ride usage was delivered via an advance booking system with every passenger guaranteed a seat to and from Olympic sites. Accessibility was massively important, and FTS used their experience and expertise to ensure the right vehicles and trained staff were available to assist those with special mobility needs.

The operation was delivered in strict accordance with the ODA’s and Government specifications and was delivered to budget and plan.
